You may receive some equipment from Mind in West Essex to help you to achieve your job role. This includes laptop computers, tablets, and mobile phones.
Phones, tablets and laptops offer access to emails and data while on the move, however they also pose a threat to the security of data.
All staff/volunteers must ensure that:
- All reasonable measures to prevent theft of the equipment and access to data are taken
- No inappropriate material is accessed or stored on this equipment at any time
- Only authorised software may be used on Mind in West Essex equipment
- The password feature is activated
- Passwords must not be shared, or written down
- The equipment is not used to store client specific Mind in West Essex data
- The equipment is kept secure at all times
- Others should not be allowed to use your laptop (with the exception of appropriate use by service users in conjunction with the work you are doing with them)
Note: The equipment remains the property of Mind in West Essex, it is not for personal use (other than in an emergency) at any point Mind in West Essex may ask you to swap this equipment or pass your equipment onto another staff member or volunteer so we ask you not to store any client information on it. Please let your line manager know if your equipment is not in good working order, is lost, stolen or damaged.Â
If you leave the organisation and your equipment is not returned by your last working day and/or is retuned not in good working order (that we had not previously been alerted to), then you agree that should Mind in West Essex need to purchase replacement equipment then the cost can be deducted from your final salary or invoiced directly.
